Data import
You can use the import function to transfer data records to the system in an efficient and structured manner. The import process consists of several steps to ensure that the data is formatted correctly and meets the requirements of the system.
This is how the data import works:
Select data range
First select the desired data area into which you want to import the data.
Only data that matches this area can be processed correctly.
Upload CSV file
Now upload your CSV file containing the data to be imported.
Make sure that the file is UTF-8 encoded and that the column headings correspond to the field names in the system.
Download template (optional)
Not sure what your import file should look like?
Use the “Download template” option to obtain a sample file with the appropriate structure and expected columns.
This template will help you avoid formatting errors and ensure that all mandatory fields are included.
Test & Preview (Test & View)
Before the actual import takes place, you can check your file in “Test & View” mode.
The system shows you:

Preview of the data records

Warnings for format errors

Error messages for invalid values or missing mandatory fields
This allows you to identify any errors before importing and correct your file if necessary.
Perform import
Has all the data been checked correctly? Then click on “Perform import” to transfer the data to the system.
After completion, you will receive feedback on how many data records were successfully imported and whether there were any problems.
Notes on import:

Mandatory fields must be filled in, otherwise the data record will be skipped or an error will be displayed.

Pay attention to the correct spelling of column names (upper/lower case, spaces).

Valid codes or terms must be used for selection fields (e.g. gender, status).
